One of our most asked questions at Brookleigh Estate is what exactly does the Brookleigh Estate Venue Coordinator’s role entail and how will they assist with planning your wedding? There is often confusion between a wedding planner and a venue coordinator so firstly, just to clarify, they are not the same. Both have very different roles, but both complement each other to help you have the most amazing and flawlessly ran wedding. There can be some similarity and overlap in their responsibilities, but there are also some big differences.

Sooo.. what are the differences between a Venue Coordinator Vs a Wedding Planner?

As a rule, both are great to have on wedding days. Our venue coordinator’s primary role and focus is to protect and prepare the venue for your wedding. You can expect them to make sure rules are being followed, to confirm vendor arrival times, to confirm the layout and overall setup of the day, and to ensure the facilities are in good working order. For example, our coordinator will liaise with vendors on bump in, bump out times, Brookleigh’s provided equipment and facilities and assist with any venue related issues that pop up on the day. This is an economical option for anyone who is confident to plan their own wedding and has some very reliable friends and family to help pull the wedding day together.

A wedding planner’s primary role is to make sure the day runs smoothly. There are day-of coordinators and full planners. You can expect day-of coordinators to work out detailed timelines and floor plans, direct the rehearsal, meet day-of deliveries and vendors, set up and break down your decor, line up and cue the ceremony processional, and attend to the couple on the day of the wedding as they need. In addition to this, a full wedding planner will work with couples to understand their preferences, style, budget, and personalities to organise suitable vendors. They will negotiate contracts, conceptualize design elements, and answer and etiquette questions. This type of planning is best for couples that do not have time or interest in planning, want professional guidance through the process, or need assistance with the design of their day.

What does this mean for my wedding at Brookleigh Estate?

At Brookleigh Estate, we provide a venue coordinator to assist all our couples as part of our packages. Our main responsibilities are preparing the venue to provide the perfect backdrop to your wedding day.

The Lead Up

In the lead up to your wedding day, our venue co-ordinators will liaise with you to choose the necessary furniture and lay out. They can also guide you on the best timeline for the day depending on the season, sunset time, and ceremony/reception locations that you choose. We have a list of recommended vendors that we provide to all our couples. These vendors are regulars at Brookleigh Estate, provide exceptional service and are considered reliable.

On The Day

On the day our staff will set up all the chosen furniture including tables and chairs that we provide in your wedding package. Directing the unloading of vendors as they set up with power etc. We do not, however, manage the services of other vendors on the wedding day. Being a BYO, DIY venue means we do not set up table décor, candles, florals or assist with catering.

One last important thing to note about our venue coordinators is that we are available on site throughout your wedding day until after the ceremony concludes and reception is set up. This is usually around 5-6pm.
